Position Title: Rainbow Room Program Coordinator

Reports To: Executive Director
Hours: 15–20 hours per week, flexible schedule (Wednesday staff meeting required)

Compensation: Part-Time, Hourly

Position Summary 

The Rainbow Room Program Coordinator serves as Vault Fostering Community’s primary point of contact as we operate the Bexar County Rainbow Room. This role requires strong collaboration with DFPS staff, thoughtful communication, and a patient, solutions-focused approach. The Coordinator will support ongoing staff training, oversee inventory systems, and manage volunteer engagement to ensure the Rainbow Room operates smoothly and consistently with agreed-upon policies and procedures.

Key Responsibilities

Rainbow Room Oversight

  • Work alongside onsite staff to support consistent implementation of agreed-upon policies, procedures, and workflows.
  • Build strong, positive working relationships that encourage open communication around expectations and needs.
  • Assist in orienting and educating staff on processes or policy updates; may lead group training sessions as needed.
  • Provide regular on-site guidance and support to Rainbow Room staff throughout the week.
  • Collaborate with both Rainbow Room and Vault teams to evaluate and strengthen systems, procedures, and overall program flow.
  • Identify facility or operational needs and coordinate solutions or escalate appropriately.
  • Maintain a running list of tasks and projects suitable for volunteers at the Rainbow Room.
  • Ensure all volunteer waivers and required documentation are current and properly maintained.

Client Processing & Follow-Up

  • Maintain and periodically update the list of available resources for DFPS staff to offer to clients and families.
  • Regularly assess client-facing processes and identify opportunities for improvement.
  • Track monthly service metrics and stages of service to ensure accuracy and prevent duplication of services.

Inventory Management

  • Receive, sort, and inventory all in-kind donations that support Rainbow Room operations.
  • Inventory new purchases as needed to maintain accurate stock records.
  • Monitor, track, and communicate low-stock levels and overflow inventory.
  • Coordinate with onsite staff to ensure accurate inventory practices and proper stock rotation.
